The duties / responsibilities of this position include, but are not limited to:
Assist with the graduation process including the intake of the application for credential online and in person, printing transcripts, completing cover sheets, awarding degrees in PeopleSoft, mailing credentials and helping at graduation ceremonies.
Download default report as report as received by Great Lakes and provide with updated student information. Enter IC3 exams, AP scores, Experiential Credit, Step Credit and other test credits.
Serve as backup for entry of college transfer credit from other institutions. Enter grades when faculty are not able to post grades for their class. Help with conversion of legacy coursework and finding old coursework in night records.
Lead email once a week, which includes monitoring, and answering questions from the OCTC Student Records email account. Assist as needed throughout the week. Process online withdrawal requests on email day as they arrive in OCTC Student Records email account.
Assist in processing workforce, firefighter, readmits and new admissions applications. Enter high school transcript information, test scores, and check OnBase. Place accurate service indicators for missing admission documents. Assist in re-instatement of students cancelled for non-payment of fees, dropping and adding late classes, and posting fees. Also, process cancellations due to loss of financial aid, non-payment of fees, etc. Enter major changes, name/address changes. This includes scanning proper documentation to update records into OnBase such as driver's license, Social Security card or Visa to remove s e viceindicators.
Help faculty, staff, students, and general public with any questions regarding Student Records documents or services. Verify enrollment status for students including attendance, hours, GPA and other information as requested. Great Lakes, Daviess County Public Library, National Student Clearinghouse, etc. often request verification. Process on-demand requests for transcripts in a timely manner while the student waits.
