The Administrative Associate III will be responsible for:
Answering, screening and routing telephone calls and greeting and directing patients/families, visitors and staff.
Providing routine and/or standardized information within scope of knowledge and authority. Drafting responses to routine correspondence. Obtaining insurance referral information from payers. Scheduling patients and coordinating appointments across a specialty department.
Scheduling appointments and meetings and maintaining personal calendars for physician/supervisor(s). Reserving meeting locations, ordering refreshments and preparing meeting agenda and other materials. Preparing travel arrangements, including flight and hotel reservations.
Scheduling and facilitating the team meetings with the Associate Chief. Completing meeting minutes and distributing.
Transcribing and typing correspondence, forms, reports, manuscripts and other materials involving complex scientific, technical and/or specialized terminology from recorded dictation, or rough draft.
Preparing documents requiring stylized formats and lettering or graphics using specialized commercial software, such as MS Office or graphics packages.
Proofreading and editing materials for grammar, punctuation and spelling.
Preparing manuscripts and grants.
Processing reimbursements and payment requests.
Assisting in maintaining records of certification, licensure and registration. Assisting with general office duties such as ordering supplies, and other related duties as assigned.
To qualify, you must have:
A high school level of educational development and six months in position as an Administrative Associate II.
The analytical skills and judgment to interpret data and take the appropriate action in circumstances or situations vary.
The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.
Strong communication skills and commitment to teamwork.
